Privacy Policy

1. Who we are

Kommun is a condominium management platform operated by Promptly Solutions, a software studio registered in Malta with offices at Triq Forn il-Gir, Victoria, Gozo, VCT 2821. For data protection purposes, Promptly Solutions is the data controller for the Kommun service unless your condominium administrator has set up a separate agreement with you, in which case they are the controller and Kommun is the processor.

2. What data we collect

• Account data — name, email, phone, role, and the blocks you belong to.
• Contribution and billing data — amounts owed, paid and pending per unit.
• Documents you upload — invoices, receipts, meeting minutes, attachments.
• Communications — messages sent through Kommun between administrators and owners.
• Operational logs — IP address, browser, and usage telemetry for security and debugging.

3. How we use it

• To operate the platform and allow administrators to manage blocks.
• To send transactional email (receipts, reminders, meeting notices) via Resend.
• To detect abuse, troubleshoot issues and keep your data safe.
• To meet our legal obligations under Maltese and EU law.

4. Where your data lives

Application data is hosted on AWS infrastructure within the EU. Document attachments are stored encrypted at rest on Cloudflare R2 (AWS S3-compatible). Transactional emails are delivered via Resend. Kommun does not sell personal data to third parties.

5. Your rights (GDPR)

You have the right to access, correct, delete, or export your personal data, and to restrict or object to processing. Email info@promptly.mt and we will respond within 30 days.

6. Retention

We keep account and financial records for as long as you use Kommun, plus the minimum statutory retention period required by Maltese law (typically 10 years for financial records). Operational logs are retained for up to 12 months.
